Analytics dashboard overview

The Analytics page is where practice managers, vets, and staff go to understand how the practice is performing day to day. It shows revenue trends, appointment volumes, your most popular services and products, client and animal numbers, staff performance, and clinical indicators β€” all updated as invoices close and appointments complete. Whether you need a quick check on this week's revenue or a detailed breakdown across the last quarter, everything starts here.

How to Navigate the Dashboards

Switching between topic areas

The Dashboards tab is divided into seven topic tabs. Click any tab to jump to that area:

Tab

Overview

A summary of the most important KPIs across all areas β€” a good starting point for a daily or weekly check-in.

Financial

Revenue, invoice values, receivables, refunds, credit notes, write-offs, discounts, and payment method mix.

Appointments

Appointment volumes, duration, cancellation and no-show rates, modification rate, and breakdowns by type and status.

Clients

New, active, registered, and lapsed clients and animals, plus a species breakdown.

Staff

Revenue per employee, appointments per employee, utilisation, and a staff leaderboard. Includes vet-specific metrics such as revenue per vet hour and vet utilisation.

Clinical

Vaccination and flea/worm compliance, C2:C1 ratio, anaesthetics per 100 consults, and lab/imaging/dental per consult.

Performance

Go-live performance β€” average weekly commercial impact since the practice switched to Lupa, compared against a selectable baseline.

Changing the date range

A date picker appears in the top-right corner of the Dashboards tab. All cards and charts on the current tab update to reflect the selected period.

  1. Click the date range picker in the top-right corner

  2. Choose a preset from the list, or pick a custom start date and end date from the calendar

The dashboard opens on Last 30 days by default. To reset back to the default, click the βœ• (clear) button inside the date picker.

⚠️ Maximum range is 24 months. If you select a range longer than two years, the dashboard will show an error asking you to choose a shorter period.

Filtering the dashboard

A Dashboard filters bar sits alongside the date picker. Use it to narrow every card and chart on the current tab to a specific subset of your data. Click Clear filters to remove all active filters at once.

Not all filters appear on every tab β€” only those relevant to the current tab are shown.

What the KPI Cards Show

Each topic tab is made up of KPI cards β€” individual tiles that each display one metric. Most cards show:

  • The value for your selected period

  • A comparison to the previous period or year-on-year, so you can see whether the number is trending up or down

Click any KPI card to open a drill-down view with a chart and a data table breaking the metric down further β€” for example, by employee, by type, or as a period-by-period comparison.


Financial Tab

The Financial tab shows where your revenue is coming from and how money is flowing through the practice. Key metrics include:

  • Total revenue β€” total completed-invoice revenue (including VAT) in the selected period

  • Average invoice value β€” total revenue Γ· count of completed invoices

  • Revenue per client β€” net (ex-VAT) completed revenue Γ· distinct clients invoiced in the period. This counts clients who transacted in the selected range, not the 12-month active base

  • Revenue per consult β€” average linked-invoice value across consult appointments

  • Receivables due β€” outstanding balance on unpaid or part-paid invoices not yet overdue, as of the selected end date

  • Receivables overdue β€” outstanding balance on invoices past their due date, as of the selected end date

  • Refunds β€” total completed refunds in the period

  • Credit notes β€” total issued credit notes in the period

  • Write-offs β€” total issued write-offs in the period

  • Discount index β€” discount as a share of pre-discount value across completed-invoice line items

  • Plan revenue % β€” plan-linked invoice-line revenue as a share of completed revenue

  • Payment method mix β€” breakdown of how clients are paying

  • Top services by volume and Top products by volume β€” your most-used services and products


Appointments Tab

The Appointments tab shows how busy the practice has been and the quality of your scheduling. Key metrics include:

  • Total appointments β€” appointments started in the period, excluding cancelled

  • Appts per employee β€” appointments divided by distinct main employees

  • Avg duration β€” average scheduled appointment duration, excluding cancelled

  • Cancellation rate β€” cancelled appointments divided by all appointments in the period

  • No-show rate β€” no-shows divided by all appointments in the period

  • Modification rate β€” appointments modified more than one hour after booking, divided by all appointments in the period

  • Start/end variance β€” average actual appointment duration minus scheduled duration

  • Booking source mix β€” a breakdown of appointments by how they were booked (for example, online, phone, or walk-in)

  • Appointments by type β€” a breakdown of appointments across your appointment types

  • Appointments by status β€” a breakdown across confirmed, completed, cancelled, and no-show


Clients Tab

The Clients tab tracks the size and health of your client and animal base. Key metrics include:

  • New clients and New animals β€” created in the selected period

  • Active clients β€” clients with an appointment or invoice in the 12 months before the selected end date

  • Active animals β€” animals with an appointment in the 12 months before the selected end date

  • Registered clients β€” non-archived clients as of the selected end date

  • Registered animals β€” non-archived, living animals as of the selected end date

  • Lapsed clients β€” clients with activity 13–24 months ago and no activity in the last 12 months

  • Registered animals by species β€” a breakdown of your animal base by species


Staff Tab

The Staff tab shows how your team is performing commercially and operationally. It is divided into two sections.

All staff

  • Revenue per employee β€” seller-attributed revenue (net of VAT) divided by distinct sellers active in the period

  • Revenue per hour β€” completed revenue divided by total scheduled employee hours. This metric always reflects the whole store β€” the Employees filter does not apply here

  • Utilisation β€” booked appointment minutes divided by total scheduled employee hours

  • Staff leaderboard β€” a ranked table showing each team member's service sales, average transaction value, appointments, and average appointment duration

Vets only

  • Revenue per vet β€” vet-attributed revenue divided by distinct vets active in the period

  • Revenue per vet hour β€” vet-attributed revenue divided by scheduled vet hours in the period

  • Vet utilisation β€” vet booked appointment minutes divided by scheduled vet hours

  • C2:C1 ratio β€” follow-up consults within 28 days divided by new consults


Clinical Tab

The Clinical tab surfaces indicators of preventive care and clinical activity. Key metrics include:

  • Vaccination compliance β€” active animals with a future vaccination next-due date

  • Flea/worm compliance β€” active animals with an anti-parasitic or other preventive schedule not overdue on the selected end date

  • Anaesthetics / 100 consults β€” anaesthetic and sedation service lines per 100 consult appointments

  • Lab/imaging/dental per consult β€” lab, imaging, diagnostic, and dental service lines divided by consult appointments


Performance Tab

The Performance tab shows the go-live performance report β€” the average weekly commercial impact since the store switched to Lupa, compared against a baseline you choose.

Select one of three baselines using the toggle at the top of the tab:

Baseline

What it means

Pre go-live matched

The closest-in-time period before go-live. Does not control for seasonality.

Year-on-year

The same period one year earlier. Controls for seasonality, but treat migrated pre-Lupa absolute values as lower confidence.

3-month baseline

A smoother baseline over 13 weeks before go-live. Does not control for seasonality.

The tab includes a period comparison table, a weekly trend chart, a breakdown by employee, and a service vs product revenue split.

Permissions and Access

Access to the Analytics page is controlled by two permission levels, set by your practice administrator in Settings β†’ Roles & Permissions:

What you can do

Full Analytics Access

View all dashboards and tables over any date range (up to 24 months). Access every data source.

Limited Analytics Access

View dashboards and tables, but restricted to the last 7 days only. If you select a longer range, you'll see an alert with a button to reset to the allowed window.

If you don't have either permission, the Analytics page won't be accessible. Ask your practice manager to grant the appropriate level in your role settings.

Tips for Getting the Most from Your Dashboards

βœ… Best practices from practices that run Lupa:

  • Check the Overview tab weekly at a consistent time (e.g. Monday morning) to build a rhythm and spot trends early

  • Use the Employees filter on the Staff tab to review an individual team member's performance before a one-to-one

  • Use the Clinical tab to identify animals overdue for vaccination or parasite prevention before running a recall campaign

  • If Receivables overdue is growing, investigate overdue invoices in your billing section

  • Use Top services by volume and Top products by volume before stock ordering to align inventory with demand

  • For multi-site groups, switch to the company-level view and use the Stores filter to compare locations side by side

  • After launching online booking, use the Appointment Sources filter on the Appointments tab to measure adoption


Frequently Asked Questions

How often does the dashboard data update?

The dashboards show live data. As soon as an invoice is completed, a payment is recorded, or an appointment status changes, the cards and charts reflect the update the next time you load or refresh the page.

Can I export the dashboard charts?

The visual dashboard charts cannot be exported directly. For exportable data, switch to the Tables tab where you can build custom reports and download them as CSV files. See for details.

Why do I see "Limited Access" when I open Analytics?

Your account has the Limited Analytics Access permission, which restricts viewing to the last 7 days. Click the View Last 7 Days button to load the allowed window. If you need a wider date range, ask your practice manager to upgrade your permission to Full Analytics Access.

What does "completed" mean for invoices in the charts?

The financial cards only include invoices with a Completed status β€” meaning they've been finalised and sent to the client. Draft or voided invoices are excluded so the revenue figures reflect real billing activity.

Can I filter the dashboard by a specific vet or team member?

Yes. Use the Employees filter in the Dashboard filters bar to narrow every card and chart on the current tab to one or more team members. Note that the Revenue per hour card on the Staff tab always reflects the whole store and is not affected by the Employees filter.

What is the Performance tab?

The Performance tab shows the go-live performance report β€” how your practice's key commercial metrics have changed on average each week since switching to Lupa, compared against a baseline period you choose. It includes a period comparison table, weekly trend charts, a breakdown by employee, and a service vs product revenue split. If the report is not yet available for your store, you'll see a message explaining that the data is not yet set up.

Why does a KPI card show "Not available yet"?

Some metrics require data that hasn't been ingested yet for your selected period β€” for example, point-in-time snapshots that are calculated overnight. Try refreshing the page, or check back after the next data update.
