Debts App: What’s New and How to Use It

The Debts App has been upgraded to make managing outstanding invoices faster, clearer, and more efficient. This article covers everything that’s new, and how it helps you stay on top of debt follow-ups.


Key upgrades include:

  • A new Grouped by Client view showing total balances at a glance

  • Customisable columns and invoice-level tagging

  • Bulk reminder actions

  • New visibility into reminder history and insurance-related debts

  • More intuitive design, clearer labels, and easier navigation


2. Client Grouping & Outstanding Balance View

Grouped by Client (New!)

The new grouped view gives you a complete picture of what each client owes in one place.

You can now:

  • Toggle on “Grouped by Client” to see each client with their total outstanding balance

  • Expand/collapse each client to view individual invoices

  • Send reminders for all of a client’s invoices in one action

If you prefer the classic layout, you can always toggle back to the traditional invoice-by-invoice view.


3. New & Improved Column Options

The Debts App now includes a more powerful set of columns to help you understand the status and history of every outstanding invoice.

New Columns Added

  • Invoice Tags - label invoices with custom tags for easier tracking

  • Last Reminder Date - see when the most recent reminder was sent

  • Number of Reminders Sent - track the total reminders per invoice

  • Insurance Claim Flag - automatically marks invoices linked to insurance claims

  • Invoice Notes - include extra information or context on a debt

Customisable Column Lists

You can now choose exactly which columns you want to see.
Your column view is saved to your user profile, so everyone on the team can tailor it to their own workflow.


4. Bulk Actions for Faster Debt Management

The new Debts App includes bulk selection tools to speed up common workflows.

Bulk Selection

Tick multiple invoices using checkboxes to perform actions in one go.

Bulk Actions Include:

  • Bulk Send Reminders

    • All selected invoices are combined into one single email to the client

  • Bulk Apply Tags

  • Bulk navigation using clickable invoice numbers or client names

Payment Links (Requested Feature)

We are exploring the ability to include multiple payment links in a single reminder email. one per invoice selected.
This is currently being reviewed by engineers and looks promising, though not yet guaranteed for this release.


5. Insurance vs Standard Debt Handling

Insurance-related invoices can be flagged to avoid inappropriate reminder chasing.

You can now:

  • Easily identify invoices that are part of an insurance claim

  • Avoid sending reminders when the insurer (not the client) is responsible for payment


6. Invoice Tagging (New Feature)

Tag invoices with custom categories to suit your clinic.
Tags can be created at:

  • Store level, or

  • Company level

Tags help you organise and filter invoices more efficiently, for example:

  • “Insurance Awaiting Claim Form”

  • “Payment Plan”

  • “Chasing - Second Reminder”

  • “High Priority”

Tags also auto-size and display more clearly with the new UI improvements.


7. Refreshed, Cleaner User Experience

The Debts App has been visually updated to be easier to read and navigate.

You’ll notice:

  • Improved spacing and fonts

  • Clearer action labels

  • Better visibility of tags and notes

  • More consistent colour coding

These improvements make it much easier to interpret information at a glance.
