Recording, live transcription and consultation notes

Overview

Recording a consultation with Lupa Notes captures the entire conversation between you and the client, then uses AI to generate structured clinical notes automatically. This eliminates manual note-taking during the consultation, letting you focus entirely on the patient. The recording can be started from your phone or your computer.

Before You Record

Important: Always ask for and receive client consent before recording any consultation. This is a legal and ethical requirement. Confirm consent verbally at the start of the recording so it's captured on the transcript.

Starting a Recording

Selecting a Template

Before starting, you select a template from the list. You can always choose a different template after recording your consult if you decide you want a different format:

  • The template defines how the AI structures the generated notes

  • Choose templates like "SOAP Note", "Surgical Note", "Phone Consultation"

  • Your favourited 'starred' templates will show at the top. You can decide which are your favourite templates in the settings.

Starting from the Clinical Notes section

If you have already recorded for an appointment and want to add another recording, you will see a microphone button in the header of the Clinical Notes section. Click it to start a new Lupa Notes recording for the same appointment without leaving the page.

Recording from Your Phone

You can use Lupa Notes from your phone as well, which allows you to move around and record on the go. Simply log in from a browser on your phone, use the same log in details and the exact same screen will come up. Whatever you record here will sync with the Lupa Notes on your computer - as long as you have internet access so your notes can be accessed and edited from your phone or computer.

Discard

Permanently deletes the current recording without generating notes. A confirmation pop-up shows how long the current recording is before you confirm

Tips for Good Recordings

  • Speak clearly at a normal conversational pace

  • Minimize background noise — close doors, reduce equipment sounds

  • Use Pause liberally — pause when stepping out, when having a private team discussion, or during non-clinical conversation

  • Position your microphone or phone appropriately — placing it on the consultation table usually works well.

  • Don't whisper — the AI needs clear audio to transcribe accurately

After Recording

Once you stop the recording, the AI processes it and the generated notes appear automatically in the Clinical Notes section of the appointment — no extra steps needed. The notes are appended directly into the editor, so any notes you had already written are preserved above a dividing line.

To read the word-for-word transcript, click View in the recording bar and choose View transcription. This opens the View Transcription pop-up, where you can:

  • Browse each speaker's turns with colour-coded speaker labels

  • Search the transcript using the Search transcript... box

  • Copy the full transcript to your clipboard with Copy to Clipboard

  • Save a PDF copy using Download

If a recording didn't pick up any speech, you'll see a message confirming no transcript was captured. If there are no recordings yet for the appointment, the pop-up will say so.

To review notes or transcripts from earlier recordings for the same appointment, click View and choose View History.

Add recording (optional)

If you need to add more details or new findings to the entry - instead of starting a whole new Lupa Notes entry you can use the 'add recording option'. Find this in 'files' tab.

  • Click the purple microphone icon

  • Dictate any new information that you would like added to your notes or continue with the 2nd part of your consult.

  • When you are done click 'finish & upload'

  • This new transcript will appear below your original transcript, and the AI generated notes will include the new information provided.

What the AI Generates

The AI produces notes structured according to your chosen template. For a SOAP template, this typically includes:

Review and Edit

Always review AI-generated notes before finalizing:

  • The AI captures the conversation accurately but may miss nuance

  • Edit any section that needs correction or additional detail

  • Add information that wasn't spoken during the consultation

  • Notes auto-save as you edit

Common Scenarios

Routine Vaccination Visit

  1. Start transcript → select "Vaccination Note" template

  2. Conduct the consultation normally — discuss vaccination, examine the pet, administer vaccine

  3. Stop recording

  4. Refresh → AI generates structured vaccination notes

  5. Review, add any details → done

Complex Case with Multiple Issues

  1. Start transcript → select "General Consultation" template

  2. Record the full consultation

  3. Pause when stepping out to get equipment or consult a colleague

  4. Resume when back

  5. Stop recording

  6. The AI captures all issues discussed and structures them in the notes

Switching practice during a recording

If you try to switch to a different practice while a recording is active, Lupa will show a Recording in progress pop-up before making the switch. You have two choices:

  • Cancel recording & switch — stops and discards the current recording, then switches practice

  • Keep recording — closes the pop-up so you can finish the recording first

Always choose Keep recording if you want to preserve the consultation — switching will permanently discard whatever has been captured so far.

Troubleshooting

Problem

Solution

Recording doesn't start

Check microphone permissions on your phone/browser. The browser may be blocking microphone access

AI notes not appearing after recording

Refresh the consultation page. Processing may take a minute for longer recordings

Transcript is inaccurate

This can happen with heavy accents, background noise, or multiple people talking at once. Edit the notes manually

Jerry section not visible

AI features are only available on desktop and for veterinary store types

Template not applied

Ensure you selected the template before clicking Start Transcript — the template is embedded in the QR code link
