Updated over 2 weeks ago

Keeping track of where your stock is stored is essential for running a smooth clinic. With Stock Locations in Lupa, you can assign items to different places (like fridges, cupboards, or even different branches) and always know exactly what you have and where it’s kept.

This article will walk you through:

  1. What stock locations are

  2. How to set them up

  3. How to assign stock to locations

  4. How to use locations when processing orders and invoices

  5. How to track stock across locations in the Inventory App

🏥 What is a Stock Location?

A stock location is any place where your inventory is stored. This could be:

    • Your main clinic

    • A branch or satellite clinic

    • A vaccine fridge

    • A pharmacy cupboard

    • A mobile vet van

By assigning stock to a location, you’ll always know how much is available - and exactly where to find it.

    ⚙️ Setting Up Stock Locations

    1. Go to Settings > Stock Locations.

    2. Click Add New Location.

    3. Give your location a clear name (e.g. Main Surgery Fridge, Branch 2 Pharmacy).

    4. Save your new location.

Now your locations will be available to tag and use throughout Lupa.

    🏷️ Assigning Stock to Locations

When adding or editing stock in your inventory, you can choose which location it belongs to.

    • Open the item in the Inventory app.

    • Use the Location dropdown to assign it.

    • Save your changes.

📦 Processing Orders with Stock Locations

When you process an order, you can now choose which location the stock is taken from.

    • Open the order.

    • Assign the items to a location.

    • Complete the order as usual.

💳 Using Stock Locations in Invoices

When you invoice a client, you can also pick which location to pull stock from.

This ensures your records are accurate - no matter where the medicine or product was taken from.

    ✅ Why Use Stock Locations?

    • Clarity: Always know where items are stored.

    • Accuracy: Avoid errors in stock counts.

    • Efficiency: Make invoicing and order processing smoother.

    • Control: Manage multiple branches or fridges without confusion.

That’s it! 🎉 Once your locations are set up, Lupa will handle the tracking for you!
