Learn to track and order drug stock using the Inventory app

The Inventory app in Lupa makes stock management easier by allowing you to track drug quantities, manage supplier details, and process orders directly within your system. In this guide, you’ll learn how to add items to your inventory, manage existing stock, place orders, and track deliveries.

Getting Started

To open the Inventory app, go to the Apps section in the main menu and click on Inventory.

1) Adding a Drug to Your Stock

You can manually add items not linked to an integrated supplier like NVS.

  • Click the Add button in the top-right corner.

  • Fill in the supplier details and product description

  • If the drug has subunits, check the Has Subunits? box. For batch items, check Enable Batches, and enter the initial stock quantity.

  • Provide either the procurement cost and desired markup/VAT, or enter the final price and procurement cost—Lupa will calculate the markup for you.

  • Set minimum and maximum stock levels if needed.

  • Click Create to save the item to your inventory.

2) Managing and Editing Stock

  • Your stock items appear under the Stock section. Use the search bar or filter buttons to locate specific items.

  • Click the dropdown arrow next to a product name to view more details.

  • Use the Graph icons to update quantities, then click Save.

3) Ordering Stock

  • Head to the Supplier Catalogue to browse available items. Use the search bar to find products by name.

  • Your selected items appear in the Basket section. You can adjust quantities or remove items.

  • Click Place Order when ready to submit the order to your supplier.

4) Tracking Orders and Adding Received Products

  • Visit the Orders section to view all recent orders and their statuses.

  • Click the dropdown arrow next to a date to see what's included in an order.

  • When you receive stock, click Process next to the relevant order.


  • Enter the details of what was received, then click Process again to update your Inventory. The order status will now change to Processed.


    By using the Inventory app, your team can stay on top of stock levels and make sure essential medications are always in supply.
