IDEXX setup and usage

IDEXX VetConnect Plus is one of the leading veterinary laboratory platforms, and Lupa integrates directly with it so you can order lab tests and receive results without leaving the system. Once connected, your team can browse available tests, submit orders electronically, and view results with reference ranges β€” all from within a consultation or the Diagnostics page.

Before You Begin

πŸ“ Prerequisites:

  • An active IDEXX VetConnect Plus account for your practice

  • Your IDEXX credentials (provided by your IDEXX representative)

  • Admin or manager permissions in Lupa to configure integrations


Viewing IDEXX Results

Results are delivered back to Lupa automatically once they're ready:

  • In-house results typically appear within minutes

  • External reference lab results may take 1–3 business days depending on the test

Where to Find Results

  1. Diagnostics page β€” open Diagnostics from the sidebar to see all lab orders across the practice. The Lab tab shows a table with order status, pet, date, and provider

  2. Pet timeline β€” results also appear in the pet's medical history timeline

  3. Order details β€” click any order to see the full result breakdown

Setting Up Lab Fee Automation for IDEXX

Once your IDEXX integration is active, you can link Lupa services to IDEXX test types so billing happens automatically when tests are ordered. For a full overview of how the automation works day-to-day, see .

Option A: Link individual services (no reference list needed)

  1. Go to Settings β†’ Services in the left sidebar.

  2. Find the service you want to link (e.g. "Comprehensive Haematology"). Use the search bar to filter.

  3. Click the three-dot menu on that service row and select Edit.

  4. In the service editor, find the Is External? toggle and switch it on. New fields appear below.

  5. Click the Diagnostic Integration dropdown and select IDEXX VetConnect Plus.

  6. Click Linked Diagnostic Test Type and search for the test (e.g. "CBC", "Haematology", "Blood Chemistry").

  7. Select the matching test and click Save.

  8. Repeat for each service you want to automate.

πŸ’‘ Is External tells Lupa this service has an external cost (e.g. a lab fee). Only services marked as External can be linked to diagnostic tests. If the diagnostic fields don't appear, check that the service doesn't inherit from a reference list β€” in that case, configure the link on the reference service instead.

βœ… Start with your top 10–20 most frequently ordered tests. You'll capture the majority of automation benefit quickly, and add more over time.

Option B: Bulk import via IDEXX Reference List

Use this to automatically populate a reference list with every test in your IDEXX catalogue.

  1. Go to Company level β†’ Settings β†’ Reference Lists.

  2. Add reference list under type "External Services"

  3. Click Create

  4. Lupa connects to IDEXX and retrieves your full test catalogue. A service is created for each test with the test name, IDEXX's price as the procurement cost, and the diagnostic link already set.

  5. Set your retail pricing β€” either per-service or using a pricing formula for consistent markup.

  6. Apply the appropriate VAT rate.

  7. Push the services to your store(s) by toggleing ON access.

⚠️ IDEXX only provides procurement costs for external (reference lab) tests. All in-house tests will need you to set a price manually or via bulk edit tool

⚠️ You may receive a large number of services. IDEXX catalogues can contain hundreds of tests. Before importing, review the list and archive any tests your practice doesn't use.


Tips

βœ… Best practices for IDEXX integration:

  • Add ordered tests to the invoice at the time of ordering β€” this prevents missed charges

  • Use the species filter when selecting tests to avoid ordering tests not applicable to the patient

  • Check for partial results β€” some panels return individual analytes before the full panel is complete

  • Review reference ranges carefully β€” they are species-specific and provided directly by IDEXX

  • If an order shows "Error", check the order details for the specific error message and retry if needed


Troubleshooting

Problem

Solution

No tests appear after selecting IDEXX

Ensure your IDEXX account has test catalogue access enabled. The test list is pulled from IDEXX β€” if it's empty, the connection may be incomplete

Order stuck in "Ordered" status

Allow time for the lab to process the sample. For external lab tests, results can take 1–3 business days. If the status doesn't update after a reasonable time, contact Lupa support

"DoB is required" error when placing an order

The pet's date of birth is missing. Open the pet's record, add their date of birth, then return to the order and try again

"These tests cannot be ordered together" error

IDEXX does not allow a single order to mix in-house, reference lab and diagnostic imaging tests. Split the tests into separate orders β€” one per type β€” and submit each individually

"One or more of the selected tests are not valid" error

One of the selected tests may be an add-on that requires a parent test to be included in the same order. Review your test selection, ensure any add-on tests are accompanied by their parent test, and try again

"IDEXX requires a field that is missing" error

A required detail β€” such as the pet's information, the attending vet, or the connected device β€” is incomplete. Check the pet record, vet profile and device settings, then retry the order

"IDEXX rejected the credentials" error

The IDEXX integration credentials are no longer valid. Go to Settings β†’ Diagnostic Integrations, click Edit on your IDEXX integration, turn on Replace credentials, re-enter your Username and Password, then click Save.

Other error when placing an order

Check the error message shown on the order. Review the order details and try again. If the problem persists, contact Lupa support

Results are missing or incomplete

Check if the order status is Partial β€” some results may still be processing. If the order is Complete but data seems missing, check the individual test group results


Frequently Asked Questions

Can I use IDEXX for in-house analysers? Yes. IDEXX VetConnect Plus supports both in-house analysers (such as Catalyst, ProCyte, and SediVue) and external reference lab tests. When selecting tests, use the in-house/external filter to see only the tests relevant to your workflow. Do results appear automatically or do I need to refresh?< Results are delivered automatically from IDEXX to Lupa. You don't need to manually refresh β€” when results are ready, the order status updates and the results appear in the pet's timeline and the Diagnostics table. Can I reorder the same tests? Yes β€” simply create a new order and select the same tests again. Each order is tracked independently. Who can see lab results? All team members with access to the patient's record can view lab results. There are no separate permissions for viewing diagnostic results.

Can I download or print results? Yes. From the pet timeline, you can download results as a PDF for printing or sharing with clients and referring clinics.
