The IDEXX integration plugs Lupa straight into IDEXX VetConnect+ so a vet or nurse can order both reference-lab work and in-house analyzer tests from a consultation, then read the results back inside the patient record without bouncing between systems. It supports IDEXX's reference labs and the IDEXX IVLS family of in-house analyzers, including ProCyte DX, Catalyst, SediVue, SNAP Pro, VetLab UA, and so on.
Availability. IDEXX is set up centrally by the Lupa team; once it is enabled for your branch you'll see IDEXX as a provider option on diagnostic orders. If you cannot see it, contact Lupa support to onboard your IDEXX VetConnect+ account.
What you can do with the integration
Place orders for IDEXX reference-lab tests and in-house IVLS analyzer runs from a consultation, an invoice, or the Diagnostics page.
Receive results automatically. Lupa polls IDEXX every 30 seconds, so completed analytes appear on the patient record without anyone needing to refresh.
Open the IDEXX VetConnect+ portal for any order in one click, which is useful if you need the full PDF report or to reorder add-ons.
Capture in-house results without ordering first. When a tech runs a sample directly on a ProCyte or Catalyst, Lupa attaches the result to the matching pet automatically.
Cancel a draft order before it has been processed by the lab.
Before you start
For an order to make it through to IDEXX you need:
Requirement | Why |
Pet date of birth | IDEXX rejects external (reference-lab) orders that don't carry a DOB. Lupa shows a banner if the field is missing. |
Pet species set to a value IDEXX recognises | Lupa maps Lupa species to IDEXX codes (Canine, Feline, Avian, Equine, Exotic, etc.). Unmapped species block the order. |
An IVLS device picked | If you choose an in-house test, you must also pick the analyzer it should run on (e.g. ProCyte DX – Serial #12345). |
No DOB on file? Open the pet, add the date of birth, save, and come back to the order. The IDEXX banner clears as soon as a DOB is set.
Place an order
From the consultation, invoice, or Diagnostics page, click Order Tests.
Pick IDEXX (or your branch-specific display name, e.g. IDEXX Reference Labs) as the provider.
Confirm the species and Lupa pre-fills it from the pet's record.
Pick the tests you need. Each test shows whether it runs in-house or reference lab, plus the expected turnaround and sample requirement.
If you've selected one or more in-house tests, choose the analyzer under IDEXX IVLS (required). Lupa lists the IVLS devices syncing back from IDEXX with their serial numbers.
Click Continue. The IDEXX VetConnect+ ordering screen opens inside Lupa as an embedded form.
Fill in any IDEXX-side details (e.g. sample type, comments, add-ons) and submit inside that form. The window closes automatically when IDEXX confirms.
The new order appears in Diagnostics with status Ordered.
Don't submit twice. If the embedded IDEXX form looks like it has stalled, close the dialog and check Diagnostics before re-trying, as your order may already be through. Re-submitting creates a duplicate that you'd then have to cancel from the IDEXX side.
Read results
Results flow back to Lupa in two ways:
Reference-lab orders — IDEXX returns analytes as the lab completes them. The order status moves through Sample Received → Running → Partial → Complete. You'll see a green Complete badge when every analyte is in.
In-house IVLS results without an order — when a tech runs a sample directly on the analyzer, the result still flows into Lupa. The order is created on the fly and the patient is matched from the IDEXX request, with Order source: Results without order on the order header.
To open the full IDEXX report, click PDF on the order to download the report, or Open in IDEXX to jump to the order in IDEXX VetConnect+.
If a result hasn't appeared after a minute, you can pull it manually:
From the Diagnostics list, open the action menu on the order row and click Sync with provider.
From inside an order, click the Sync with provider button in the order header.
Lupa contacts IDEXX directly and refreshes the order. A Synced with provider confirmation appears when it completes. If something goes wrong, you'll see a Failed to refresh order message with a short description of the problem.
Results polling. Lupa pulls new results every 30 seconds; expect a delay of up to a minute between IDEXX completing a result and seeing it on the pet record. If a result is taking longer than expected, use Sync with provider (see below) to fetch it on demand.
Order status reference
Status | Meaning |
Created | Draft inside Lupa, not yet submitted to IDEXX. |
Ordered | Submitted to IDEXX; awaiting sample arrival or analyzer run. |
Sample Received | IDEXX has the sample (reference lab only). |
Running | Tests are being performed. |
Partial | Some analytes are back; others still pending. |
Complete | All analytes returned. |
Cancelled | Order cancelled in Lupa or in IDEXX. |
Error placing order | IDEXX rejected the order. The error message is shown on the order and typically points to a missing date of birth, unmapped species, or invalid test code. |
Cancel an order
You can cancel an order while it is still in Created, Ordered, or Sample Received. Open the order in Diagnostics and click Cancel. Lupa calls IDEXX, removes the order from their queue, and switches the local status to Cancelled. Once an order has moved into Running it has to be cancelled from inside IDEXX VetConnect+ (Lupa will reflect the cancellation on the next poll).
Number formats and locales
If your practice operates in a country that uses a comma as the decimal separator (e.g. Germany), the IDEXX integration is configured at setup time to parse 1.234,56 rather than 1,234.56. If you ever notice a result coming back at 1000× or 1/1000× the value you'd expect, the number format on the integration is the most likely cause. Let Lupa support know and they can switch the parsing.
Troubleshooting
Issue | Likely cause | Fix |
Banner: "External IDEXX tests require a date of birth for the pet." | Pet has no DOB | Open the pet, add the Date of Birth, save, then return to the order. |
"You must select an IDEXX IVLS for in-house tests" | You picked an in-house test without picking an analyzer | Pick the analyzer under IDEXX IVLS (required), or remove the in-house test from the order. |
Order stuck on Error placing order | IDEXX returned an error (bad species, missing DOB, expired credentials) | The error message on the order tells you which field is wrong. Fix it on the pet, then place a new order. The failed one cannot be retried in place. |
IDEXX provider not in the dropdown | Integration not enabled for your branch | Contact Lupa support; integration setup is centrally managed. |
Test catalogue is missing recently added tests | Reference data sync runs daily at ~4am and new tests show up after the next sync | If you need it sooner, ask Lupa support to refresh the IDEXX reference data manually. |
A result is missing or never appeared | The result was delivered by IDEXX but lost before Lupa could save it (e.g. a network blip during the automatic poll) | Open the order and click Sync with provider, or use the same option from the order's action menu in the Diagnostics list. Lupa fetches the result directly from IDEXX and saves it. |
An in-house result didn't link to the right pet | Pet ID typed at the analyzer doesn't match the Lupa record | Open the order, change the linked pet, and save. Lupa stores the IDEXX context against the order so future results from that requisition link automatically. |
FAQs
Do I need to log in to VetConnect+ separately?
No. The VetConnect+ ordering screen opens embedded inside Lupa with your IDEXX credentials already attached. If the embedded screen prompts for a login, the credentials Lupa has stored have rotated; ask Lupa support to update them.
Where do new tests and devices come from?
Lupa pulls IDEXX's reference data (species, tests, IVLS devices) once a day. New tests added in IDEXX show up the next day. If you swap an analyzer, the new device starts appearing in the IDEXX IVLS picker after the next refresh.
Can I edit a result manually?
No. Results are read-only and come straight from IDEXX so they remain forensically accurate. If you need to add a note about a result, use the consultation notes alongside the order.
Why does my in-house run sometimes appear without me ordering it first?
This is by design. When a tech runs a sample directly at the analyzer without raising an order in Lupa, IDEXX still sends the result. Lupa creates an order on the fly and tags it Order source: Results without order. You can edit that order to attach it to a consultation or an invoice if you want to bill the test.
What's the difference between IDEXX and Zoetis lab integrations?
They are independent. IDEXX gives you VetConnect+ for reference labs and IVLS devices for in-house analyzers. Zoetis VetScan is a separate integration for Zoetis's analyzers and reference labs. See . Each provider has its own provider tile when you click Order Tests, so you choose at order time.
