Lupa makes it easy to access and update appointment information directly from your calendar using a quick view popup. In this guide, you’ll learn how to view appointments, update their status, add notes, notify clients, and process payments and all from one convenient window.
1. Open the Appointment Summary
To get started, click on the appointment name from the calendar. A popup window will appear showing a summary of the appointment, including key details like the pet, client, appointment time, and status.
2. Update the Appointment Status
You can change the appointment status quickly by clicking the status dropdown next to the appointment name. Select the new status from the list (e.g. Confirmed, Checked In, In Progress, etc.).
3. View and Edit Notes
On the right-hand side of the summary window, you'll see the pet notes and booking notes. To make changes, click the Edit button beside each note section.
4. Save Your Changes
Once you've made your edits, click Save to update the notes.
5. Notify the Client with “Ready in 15 mins”
If you're nearly ready to begin the appointment, click the Ready in 15 mins button under Quick Actions. This will notify the client that they can start heading over or prepare to join the appointment.
6. Add a Payment
To record or request payment, click Add Payment under Quick Actions.
7. Choose a Payment Method
After clicking Add Payment, you’ll be asked to choose one of the following methods:
Manual record – for manually entering a payment
Online – to send a payment link to the client
Terminal – to send the amount to your integrated card terminal
Enter the payment details and click Save when you’re done.
By default, saving a payment will mark the appointment as Completed or untick the checkbox if you’d prefer to keep the current status.
