Understand where and how to use notes throughout Lupa

Lupa offers several types of notes to help you keep track of important details about pets, clients, and appointments. Each type of note is designed for a specific purpose and can be accessed or added at different stages of the client journey.


1. Pet Notes

These are internal notes related to the specific pet. You can use them to record observations on behaviour, medical history, temperament, or other details that help ensure high-quality care.

You can add or edit pet notes in two ways:

  • When creating a new pet profile, use the Internal Pet Notes field.

  • To update existing notes, go to the pet’s profile under Pet Details, and find the Internal Pet Notes section. Click Edit in the top right, make your changes, and then click Save.

2. Client Booking Notes

These are notes provided by the client during the online or app-based booking process. They help the clinic prepare in advance by offering insights from the client about their pet or appointment needs.

You can view client booking notes in:

  • The appointment preview

  • The appointment file

3. Internal Booking Notes

Internal booking notes are added by your clinic team during the scheduling or confirmation of an appointment. These notes are not visible to clients and are meant to share key internal details, such as special requirements or reminders.

They can be added:

  • When creating or editing an appointment

  • When approving a new booking request from the Notification Panel

4. Appointment Notes

These notes are entered by the vet or specialist during the consultation. They are linked to the appointment and can include clinical summaries, treatment details, and general notes from the session.

Appointment notes provide a comprehensive record of what was discussed or performed during the visit and are accessible from the appointment file.

Each note type plays a key role in maintaining continuity of care and clear communication within your practice. By using the right note in the right place, your team can deliver a more organised and personalised experience for every client and patient.
