Deposits are here! You can now take payments before an appointment, invoice, or estimate is completed - perfect for pre-booking appointments, online deposits, or upfront payments at reception.
🧾 How to Take a Deposit
You can add a deposit in a few different ways - choose what’s easiest for your workflow! 💜
Option 1: From the Client or Appointment Page
Open the client’s appointment.
Open the Invoice / Estimate or Appointment Billing screen.
Click “Add Deposit”.
Enter the payment details (e.g. Stripe, card, or cash).
Save!
Your payment will now appear as a Deposit attached to that appointment or estimate.
Option 2: From the Calendar 🗓️
You can now take deposits directly from the calendar - no need to open the full appointment!
To do this:
Right-click on any appointment in the calendar.
Select “Add Deposit” from the menu.
Enter the payment details and save.
Option 3: From the Appointment Quick View
When you open an appointment’s Quick View from the calendar, you’ll see a brand-new “Add Deposit” button!
Click it to record a deposit straight from that pop-up view - perfect for quick front-desk workflows.
⚠️ Note: Deposits can’t be added to completed appointments.
If the appointment is already marked as completed, you’ll need to set it back to another status first.
💳 How Deposits Work with Stripe
If your clinic uses online Stripe payments, any payments made through online booking will automatically appear as Deposits in Lupa.
When the appointment is completed, those deposits are instantly allocated to the invoice - no extra steps needed!
🔁 Changing Appointment Status
Deposits adapt depending on appointment status:
✅ Completed Appointment → deposit becomes a payment
🔄 Set Back to “Ready for Checkout” → payment returns to a deposit
🧠 Things to Know
Deposits are linked to their invoice or estimate until it’s completed.
You can see and manage all deposits from the client’s payment history.
Regular (non-deposit) payments won’t automatically convert back to deposits.
You can refund a deposit anytime before it’s allocated.
