Keeping your appointment statuses up to date helps your team stay on the same page and keeps clients informed. In Lupa, there are four easy ways to update an appointment’s status.
1. Using the Flow Chart
The Flow Chart is a visual way to manage appointments as they move through different stages.
1. Drag and Drop to Update
Open the Flow Chart page.
Find the appointment and drag it from one status column to another (e.g., from Confirmed to Checked In).
Dropping it in a new column will automatically update its status.
2. Manage Notifications
If you're changing the status from New Request to Confirmed, or setting it as No Show or Cancelled, you can choose whether or not to notify the client.
Use the notification toggle to turn client notifications on or off.
Click Update Appointment to save your changes.
3. Use “Ready for Checkout” and “Completed”
Set an appointment to Ready for Checkout when you're done updating the billing section.
Once the appointment is finished, change the status to Completed to lock the appointment and generate the final invoice.
If needed, you can unlock the appointment later to make changes.
2. From the Appointment Pop-Up
1. Open the Pop-Up
Click on any appointment to open the pop-up preview.
At the top of the pop-up, use the status dropdown next to the appointment name to choose a new status.
3. From the Full Appointment Page
1. Access the Full Appointment View
Click on the appointment name, then click View Full Appointment to open the full file.
In the top right corner, open the status dropdown and select the new status from the available options
4. Managing Online Bookings
1. Check Notifications
Appointments booked through the online form or the Lupa app will appear under Notifications.
These will start with the status New Request.
2. Review and Confirm
Click the arrow next to the notification to see more details.
Review or add any missing information.
Once confirmed, the status will automatically update to Confirmed, and the appointment will be added to the employee’s calendar.
